A percentage gauge like this can act as a motivator to employees, to finish up tasks and move onto others. This gauge is displayed when employees scan project tasks with barcode scanners.



Steps to set up new project tasks so their percent status can be seen when barcoding

  1. Choose Insert, New Project Task
  2. Enter the name you want employees to scan with barcode scanner
  3. Choose a project for the task (tasks can only be under one project)
  4. Choose a category to represent the kind of work you will do
  5. Enter a 'Duration' that exceeds 8.0 hours
  6. Optionally, enter a 'Task % warning' level that will turn the gauge red when exceeded
  7. Click Save and Close


Where will the percent gauge be displayed?

Start by pressing the F4 key. This opens the Barcode window. Employees will see the percent gauge when they scan a project task name. But that task must have a 'Duration' that is greater than 8.0 for the gauge to appear. Short tasks do not display gauges because they will be completed quickly and there's little point in tracking their percentages.


What are the advantages to using tasks and percent complete?

  1. Users will see the percentage gauge, and will be motivated to complete tasks quicker
  2. You can get email notifications when the percent complete exceeds a level you set
  3. The gauge will turn red when the the percent complete exceeds your level
  4. You can easily estimate when your project will end


How can I force users to scan project tasks?

  1. Choose Tools, Users and Organization
  2. Right-click on the first item in the list (your company)
  3. Choose User Rights...
  4. Scroll down in the list
  5. Uncheck "Can log time with no project task selected"
  6. Click OK, OK
  7. Once ST restarts, users must scan project tasks before the timer will start


How can I get email notifications when the percent complete is exceeded?

  1. Open any project task that users are scanning
  2. Find the 'Task % warning' field
  3. Enter a percentage (near 100%) where you would like to get the notification
  4. Click Save and Close
  5. Choose Tools, Users and Organization
  6. Right-click on a user
  7. Choose Email Notifications
  8. Place a check next to: 'Task percentage warning exceeded'
  9. Optionally click 'Email Setup...' to set up your SMTP outgoing mail
  10. Click OK, OK


Have you seen the Project Tasks view?

  1. Click the Project Tasks tab, near the top of the main ST window
  2. All tasks (that we added by choosing Insert, New Project Task) are displayed here
  3. Choose View, Columns to customize this view
  4. See the Duration, Actual, Percent Complete, and Status of each task
  5. Notice the roll-ups at the project level


Can you schedule tasks for completion at certain times?

  1. Each project task may be assigned to individual users (or groups)
  2. Each task has an optional start and due dates
  3. Each task has an optional Duration, as discussed in the video
  4. Set all your task dates and durations
  5. Choose View, Project Resource Allocation
  6. View the barchart that shows employee task scheduling
